Why do some employees show with a negative age?

KB95

Overview

It's possible that Windows can interpret a date represented by only two digits as being in a different century. When the settings are not configured properly, it can display the employee as having a negative age on their record.

When an age has been entered correctly as two digits and Windows is configured correctly, it should display the correct age.

When the date is not configured correctly, it can cause an issue when attempting to apply a Pay run. It may also be an issue when using the Human Resources module.

Example of report error

-----------------------------------------------------------

ERROR LIST

-----------------------------------------------------------

18961 : An issue occurred while attempting to process a Single Touch Payroll lodgment for the current pay run

31801 : An error occurred while preparing Single Touch Payroll data

31802 : An error occurred while preparing Single Touch Payroll lodgment data for STP #xxxx

31902 : An error occurred while preparing Single Touch Payroll lodgment data

31870 : Required data for a record within a Single Touch Payroll lodgment was found to be invalid

31932 : The Date of birth for employee 'xxxx' (03/02/89) is after the current date.

How to fix

To fix this you need to adjust your Windows Date format for two digits.

Access Windows Control Panel

On your Windows PC, go to your Windows Control Panel. If you don't know how to access this, press Start > Search "Control Panel". Other ways to open it are available here. Navigate to the Clock and Region settings (Category view).

If your Control panel is sorted by Small or Large icons, navigate to the Region setting.

From the Region window select Additional settings.

The Customize Format window will open. Select the Date tab and check the Calendar section. Make sure that this is set to recognise the earliest date required as a two-digit date will be formatted to the correct year.

Check in Accentis Enterprise

In Accentis Enterprise, go to Payroll > Employees and edit an employee that was displaying incorrectly. It should now be showing the correct age.
