Why don't Sales order comment lines appear on a Sales invoice by default?

Overview

If you have added comments to your Sales order lines, you will likely find that these comments will not flow through to your final Sales invoice. This is because only lines that represent an actual dispatchable and chargeable item will be automatically included in Sales invoice reports.

However, if you use comment lines to sort or provide context to your orders and invoices, then there are multiple options available to ensure that these comments are included on your final Sales invoice printout.

Process

To include comment lines on your Sales invoice reports, the reports will need to be modified by the Accentis Support team. The option you choose will depend on your current processes and how you would like these lines to be displayed.

All comments from the Sales order should appear on every invoice

This option is configured to specify that when a Sales invoice report is generated, it will refer to the linked Sales order and will inject all comment lines from the order into the invoice report.

It should be noted that if you partially dispatch your order, and then partially invoice it, all comments will still be included. If some of the comment lines will not relate to all items (and should therefore not be included on every invoice), this may not be the best option.

For example, your Sales order may have the following lines:

  1. Item A
  2. Comment line X
  3. Item B
  4. Comment line Y
  5. Item C
  6. Comment line Z

If you fully-invoice the order, then the Sales invoice will mirror the Sales order exactly. However, if you only invoice item B, then your Sales invoice report will look like this:

  1. Comment line X
  2. Item B
  3. Comment line Y
  4. Comment line Z

Any comments above/below an included item line should appear

This option is configured to include any comment line that exists above/below an item line included on the Sales invoice, up until the next non-comment line. It is your choice whether this option is configured to include comment lines above or below included item lines.

For example, your Sales order may have the following lines:

  1. Item A
  2. Comment line X
  3. Item B
  4. Comment line Y
  5. Item C
  6. Comment line Z

If you opt to display comment lines above included item lines, and your Sales invoice includes only items B and C, then your Sales invoice report will look like this:

  1. Comment line X
  2. Item B
  3. Comment line Y
  4. Item C

Alternatively, if you opt to display comment lines below included item lines, and your Sales invoice includes only items A and B, then your Sales invoice report will look like this:

  1. Item A
  2. Comment line X
  3. Item B
  4. Comment line Y

Any comments relating to included line groups should appear

This option is configured to include any comment relating to an included line group on the Sales invoice.

For example, your Sales order may have the following lines:

  1. Item A
  2. Comment line X
  3. Item B
  4. Comment line Y
  5. Item C
  6. Comment line Z

If your Sales invoice includes line group 1 (items A and B), then your Sales invoice report will look like this:

  1. Item A
  2. Comment line X
  3. Item B
  4. Comment line Y
