Does Accentis keep different versions of Sales quotes?

Overview

When a Sales quotation is modified, Accentis Enterprise records its revision number so you can quickly see that the quote has been changed and which version the current record is. Because Sales quotations can include a large amount of data and can be modified many times, Accentis Enterprise only stores the information for the current revision by default.

If you want to access or compare previous versions, you have multiple options depending on which parts of the quote are important for your organisation to capture.

Retain a copy of the PDF

Each time you generate a PDF for a quote, you can attach this PDF to the Sales quotation’s Documents. This way, you maintain a copy of the actual quote that was distributed.

You can either do this manually or can have custom commands written to automatically attach the PDF anytime a new PDF is generated or the Sales quotation record is updated.

Archive the quote contents into the database

You can have a custom command written by the Accentis Support team to take the information from the Sales quotation record and save its contents to the database. You can then have reports created that analyse the archived data.

For example, you could have a report that shows quotes that have had price changes for specific items or that shows each version of specific quotations and allows you to run a detailed comparison between them.

Target certain quote fields

You can use Accentis’ Advanced Audit Module to record audit logs for selected fields on Sales quotations. This allows you to see when specific data, such as the quotation date, was changed.

The Advanced Audit Module is intended to target a small number of high-importance fields, as opposed to the entire contents of the form. This is an additional, licensed module.
