Why are there multiple clock on and off entries for employees when they only clock on and off once?

Quick Answer

You have Pay item schedules set up which split timesheet entries based on the times worked

Overview

If you have employees who are only clocking on and off once per day but have multiple timesheets entries appearing, you may have pay item schedules setup for your database.

For more information please see our Pay item schedule article.

Why do pay item schedules cause multiple entries?

Pay item schedules allow different Pay items to be automatically applied throughout a shift based on the time of day. If a schedule changes to a different pay item while an employee is still clocked on, Accentis will automatically split the shift into separate timesheet entries at each schedule change.

When this occurs, the original entry is Stopped at the schedule boundary and a new entry is Started using the next pay item. Although the employee only clocked on once and clocked off once, multiple timesheet entries are created so that the correct pay items can be applied to each period worked.

For example, in the Worked example on the Pay item schedule article, if an employee clocks on at 6:00 am and clocks off at 5:00 pm, the shift may be automatically split into the following entries:

This behaviour is normal and ensures that the correct pay items are used for each period of the shift.
