When this button is selected, if data is available to be used, Accentis Enterprise will output it to the default print/export setting. For more information on how to set these defaults, go to Import / Export menu and view the Output method and Output style.

When unchecked, it will show each file in an individual window, allowing you to perform a different action for each file. When checked, it will perform the selected action for all of the files (link/copy/move/cancel).

Adding functions or reports through a menu:

On any form, use the special menu to add the item to your toolbar.

Go to Special > Add this form to the toolbar > The form will be added to your toolbar automatically.

Remove a toolbar button directly

To remove a form from the toolbar, right-click with your mouse on the form > select Remove this button from the toolbar.

It is possible to change more than a single button on the toolbar at the same time. This will improve efficiency and help to make your toolbar more uniform. Changes can also be made to a single button through the Customise toolbar menu, which is detailed below.

Select a range of buttons

There are two ways to select the buttons you want to edit:

  1. Left-click on your mouse and drag a marquee around the buttons you choose
  2. Hold Shift + Ctrl and select each button you want to edit

As you make a selection, a black border will highlight the selected toolbar buttons.

Move a group of buttons

Select a range of buttons.

Left-click on your mouse to one of the selected buttons and drag them to where you want them. They will snap to an invisible grid.

Selected buttons are moved and resized the same way as unselected buttons, however the Ctrl key does not need to be pressed. When a selected button is moved, all other selected buttons will keep their position relative to it. When a selected button is resized, all other selected buttons will also be resized by the same amount. To nudge selected buttons a small distance, hold the Alt key and press an arrow key in the direction desired.

Align, space or resize a group of buttons

Select a range of buttons.

Right-click on your mouse one of the buttons and select Align > then choose an option from the menu.

Aligning selected buttons

To align selected buttons, right click on a button and select one of the options starting with 'Align' under the 'Align' menu. This will align the corresponding side of the selected buttons with the one clicked. (e.g. 'Align Right' will move all selected buttons so that their right side is at the same horizontal position as that of the clicked button).

Spacing selected buttons

To space selected buttons evenly, right click on a button and select 'Space horizontally' or 'Space vertically' under the 'Align' menu. This will move all selected buttons so that they are spaced evenly on the axis selected.

Resizing selected buttons to the same size

To set all selected buttons so that their size is the same, right click on a button and select 'Make same size" under the 'Align' menu. The size the buttons will be set to is the size of the button that was right clicked.

This is the currency that Accentis Enterprise recognises as being the local area currency. All currencies other than the local currency are considered to be foreign currencies.

The Contacts tab lists all contacts records (see Contacts) that have been linked to this customer. A contact can only be linked to the customer once, but a contact can be linked to any number of other customers. You are able to link, unlink, create a new contact or delete a contact using the buttons at the bottom. You can also right click in an empty area of the list to link or add a new contact.

To multi-select contacts outside of a range, press and hold Ctrl on your keyboard and use the mouse to select as many contacts as you want. To select multiple contacts within a range, select your first contact using your mouse, press and hold Shift on your keyboard and use the mouse to select the last contact in the range.

When multiple contacts are selected, the unlink, delete and email buttons will apply to all of them. In the case of email, it will fill in the To field.

You can also right click on the Contacts list to perform special actions:

  • Email selected contacts
  • Manage function associations
    • Choose the functions associated with the contact. You can choose as many functions as required.
    • Note: If you will be lodging TPAR for the supplier, at least one contact will need to have the Payment function selected.

This is the Customer’s sales representative for the Sales invoice. When a Customer is entered on to a Sales form, the contact selected for the Attention field is chosen alphabetically by the contact Role field followed by the Surname/Firstname. If you type a contact name in to this field and, on update, it matches one of the contacts listed for the customer, then this field will be linked to the contact and allow a hyperlink to the contact record (indicated by a blue underline on the field when in IDLE mode on the form).

You may click on the search button next to the Attention field to search for a contact.

This menu option provides an easy way of creating a Purchase order for all goods on the current Sales order. When you select this menu item, a Purchase order options screen is displayed, providing the user with several options that control how the items on the Sales order appear on the Purchase order.

Once you have selected the desired options and clicked OK, the Purchase Order form is displayed and a new Purchase order record is begun, containing all relevant items from the current Sales order. If an item was specified multiple times on the Sales order, it will be consolidated onto a single line on the Purchase order and the quantities summed as required. Once the Purchase Order form is displayed, it is left in Edit mode so that you can manually make any changes before updating, or cancel the Purchase Order and if you so desire.

It is possible to allow customised pre-processing commands to flag each line of the Sales order in a way that forces the "Create work order" action to ignore any flagged lines. This feature can be used to mark lines as "Released" or "Ready for production". A customisation is required to manage these flags (the work order number for each line is set to -1 to indicate it is not cleared for production).

Reference: Currency, Read-only

This is the total amount of all selected valid Receipts that exist for the Deposit. This amount will be Debited to the Allocation account when the Deposit is updated.

The Total field can be used in Search mode to filter results.

Indicates the date on which the employee data was finalised with the ATO for the financial year. This field is updated whenever a finalisation is performed for the employee via the STP Finalisation and Lodgment form.

When you are setting up a new employee, this field should be left empty.

A label will appear below the date indicating if the employee requires finalisation (based on activity and current finalisation date).

This field indicates whether the current Purchase order has been fully or partly received. It will only be visible for Purchase orders that have at least one receive entered for them. Listed receives will display (INV) or (Part INV) at the end of the text, indicating if the Receive has been invoiced fully (INV) or partially (Part INV).

Clicking on the field will cause a menu to drop down displaying all the receives relating to the current Purchase order. Clicking on any of the displayed receives will then display the selected receive record.

Negative receives are preceded by "Neg ", so "Neg Receive". A negative receive is any linked receive which has a line with a negative quantity, regardless of its other lines. i.e. if it has both positive and negative lines, it is still a negative receive.

Note: If the Receive has not been invoiced at all, no additional text is displayed

You are able to change the Tax Code for an item on a per Supplier invoice line basis. When an item is added to an invoice, the tax code for the line defaults to the tax code for the item but users are then able to use the button to see and modify the tax code.

An Accounts payable system preference (Allow stock items to be manually added to Sales invoices) is available that controls whether this functionality is active.

When adding costings to a job and using the Tab key to enter the cost centre column, it will be auto-populated with the contents of the job stage column if it does not already have a cost centre specified.

When creating a Sales invoice from a Repair, notes will be added to the internal comment field stating the repair from which the Invoice was created.

When this field is filled in, the serial number selection page (on work order finish, not start) will default to one row on the "Selected Serial Numbers" grid box (the box on the right). The single default row will have the quantity set to the quantity the user is attempting to finish. The serial number will be set to the string specified in the new field.

If this field is not filled in from previous versions, serial numbers will behave as normal.

This is the tax scale that will be used to calculate the tax on an employee’s pay each pay run. Tax is calculated on the employee’s taxable income based on parameters provided in the relevant tax scale.

Tax scales must be added via the Tax scales form before they will appear in this list, however you can press the HotEdit key to add new tax scales which will then add them to the list for selection. Tax scales can be selected from a previously created Quicklist by pressing the QuickList Hot Key, which by default is F3.

The Allowance expense account is the General ledger account that is used to debit the amount of any Pay item that has a type of Allowance before tax or Allowance after tax. Usually, the Department’s Salaries expense account is used for salaries expenses, however an allowance pay item type can have its own expense account to which the allocation is made. This is optional. If the Expense account for the allowance is left empty, the Wages Expense account is used for the employee's department instead. If neither have been specified, you will receive a prompt.

This button will open a colour picker. Selecting a colour will print the corresponding RGB code to the cursor position. This will overwrite any selected text. Selecting an RGB code before opening the colour picker will pre-select that colour, allowing for fine adjustments to the that colour.

Clicking on this colour square will allow the user to pick which colour will be used as the background colour on the main menu form.

This area is designed to display the effects of the current colour settings. As colours are modified, the changes are reflected in this area.

Causes any sub-kits with a total quantity of zero to be ignored when creating work orders from a sales order using the option to build sub-assemblies.
